Job Description Purpose of Position In this dual role, the HR/Events Assistant will work directly with and assist the HR Director with a variety of necessary human resources tasks and the coordination of company-wide events. Essential Duties and Responsibilities Human Resources Functions: Provide administrative support to HR Director Assist in the recruitment of all positions by posting on company-approved job boards, sourcing candidates, conducting telephone interviews, performing background and references checks, sending pre-hire assessments and other duties as assigned Assist in the onboarding of new hires by following new hire/onboarding process Manage the open enrollment of the entitys 401(k) and benefits program, including coordinating education and benefit webinars and sending out information to staff Maintain employee confidentiality and protect HR and payroll operations by keeping all private information confidential Maintain files for active and terminated employees, including I-9 compliance and semi-annual file audits Respond to unemployment insurance claims and employment verification requests for staff in a timely manner Other duties as assigned Events Functions: Support planning of company-wide events from conception to completion with the assistance of an Events Committee, including managing financial and time constraints, booking venues, scheduling speakers, researching vendors, and proposing ideas to improve provided services and event quality Serve as a primary contact for leadership, staff and real estate agents on events and respond to inquiries in a timely manner Manage and oversee events on the day of, including solving problems, welcoming guests, directing event set-up, communicating with staff, organizing vendors and managing take-down Work closely with the marketing team to create effective advertisements, communication campaigns and print materials for each event Conduct pre- and post-event evaluations as requested by the HR Director and report on outcomes to the Events Committee Other special projects as assigned Qualifications Education and Experience High School diploma or equivalent required; Associates or Bachelors degree in Human Resources, Business Administration, or related field preferred Proven experience as an HR coordinator or relevant human resources position required Prior experience as an events coordinator, planner, organizer or relevant events planning position preferred Certification(s) in Human Resources or events coordination/meeting management highly desirable Knowledge, Skills & Abilities A customer-first attitude and providing stellar customer service to internal and external customers is a must Strong verbal and written communication skills are necessary High degree of professionalism, including the ability to handle confidential information Strong computer and internet competence, along with the ability to learn new tools and systems quickly and thoroughly. Intermediate to advanced knowledge of the Microsoft OfficeSuite including Word, Excel, PowerPoint and Outlook required. Works well with a team but is also a dynamic self-starter who takes ownership of a task and completes it in a timely fashion Ability to perform under pressure by being able to multi-task and prioritize workload Impeccable attention to detail and organizational skills is a must Physical Requirements Sedentary: Ability to lift up to 10 pounds maximum and occasionally lifting and/or carrying such articles as dockets, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required only occasionally and other sedentary criteria are met.
