Job Description Department: Academics Reports to: Vice President
of Academics FLSA Status: Exempt General Purpose: The purpose of
the Registrar / Records Department Manager position is to oversee
and maintain the Integrity and safety of student data and records.
The Records Department Manager is responsible for oversight of all
Records department staff and student records for all campuses in
accordance with regulations and guidelines. The Registrar / Records
Department Manager must stay up to date on regulations, policies
and guidelines related to the department and ESL academy. Essential
Job Duties & Responsibilities: --- Maintain integrity of student
records, including but not limited to file contents, transcripts,
student statuses, attendance records, course scheduling and file
audits. --- Research, analyze and resolve student issues as they
relate to records and registration. --- Hires and trains staff for
the Records department in consultation with VP of Academics. ---
Oversees reports on Records related data and information. ---
Ensures the department is in compliance with all guidelines in
accordance with regulating agencies and is responsible for staying
up to date on guidelines and policies related to compliance. ---
Performs Registrar duties for the department and/or substitutes
within the department as needed. --- Provide verification of
student enrollment, deferment requests, full-time verification
letters, childcare letters, etc. --- Monitor submission and entry
of student attendance, and supervise distribution of final grades
and attendance rosters. --- Create classes and schedules for
students. --- Ensures the Master Schedule is up to date and
accurate. --- Run daily, weekly and monthly reports such as Student
Academic Progress (SAP), alumni, active students, drops, Leave of
Absence (LOA), etc. --- Maintain and accurately calculate student
population numbers and provide statistics for corporate and campus
reporting requirements. --- Oversee file and archive paperwork and
maintain integrity of student paperwork --- Perform accuracy check
on all new start files and authorize ---official starts--- of new
students. --- Ensure regulatory compliance, accurate maintenance of
student records, student files management and administration of
student management information system (GradPro) on Campus. ---
Other duties and special projects as assigned. Supervisory:
Supervises Records department staff, Responsibilities include
hiring, training employees, directing work, addressing complaints
and resolving problems. Education and/or Experience: Bachelor's
degree (B. A.) from four-year college or university, or at least
three years related experience and/or training with one year of
general office/administrative experience, or equivalent combination
of education and experience. Language Skills: Ability to read and
comprehend simple instructions, short correspondence, and memos.
Ability to write simple correspondence. Ability to effectively
present information in one-on-one and small group situations to
customers, clients, and other employees of the organization.
Mathematical Skills: Ability to add, subtract, multiply, and divide
in all units of measure, using whole numbers, common fractions, and
decimals. Ability to compute rate, ratio, and percentage and to
draw and interpret tables and bar graphs. Reasoning Skills: Ability
to solve practical problems and deal with a variety of concrete
variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in
written, oral, diagram, or schedule form. Equipment / Computer
Skills: Incumbent must be able to use the following equipment and
software packages with proficiency: --- Microsoft Office Suite ---
